Multimedia Formats [Rich Media, Video, DV360] Workflow, Requests & Revisions

Workflow

All Multimedia / Rich Media requests should be submitted through HubSpot

 

Once submitted, requests enter the Multimedia queue and are handled according to the following priority:

 

  1. Launch campaigns
  2. Edits to existing creatives for launch campaigns
  3. Questions related to Multimedia formats that require limited research (up to approximately 30 minutes)
  4. Pitch campaigns
  5. Complex questions related to Multimedia / Rich Media formats that require additional research or technical investigation
  6. Edits to samples created for pitch campaigns (accepted only in exceptional cases and when there is a clear justification for why the revision is necessary)

Coming soon: A catalog of previously created Rich Media ads will be available to provide references and help reduce the time required to prepare pitch campaign samples and revisions (ETA 1-15 Sept)

Request Processing

Once a request has been reviewed and there are no issues, missing materials, or clarifications required, it is assigned to a designer.

The standard turnaround time is up to 48 hours. In most cases, requests are completed within 24 hours.

Please keep in mind:

  • Turnaround time starts once all necessary information and materials have been provided and the request is ready for production.
  • Requests submitted on Friday within working hours will be processed and completed in order of priority and might be completed starting next Monday within working hours
  • Requests submitted on Friday outside the working hours will be processed and completed starting next Monday within working hours
  • Designers Team does not work during the weekend or extra hours by default - for handling exceptional cases, please explain the situation involving your teamlead to confirm the need for additional resources and\or working hours that require corresponding compensation
  • More complex requests may require additional time depending on their scope and technical requirements. Designer will inform you via corresponding thread of any additional time needed when the request is accepted and taken into work
  • Missing information or additional clarification may delay the start of production.

We strongly encourage providing as much detail as possible when creating the initial request. A complete brief helps the team understand the client’s expectations from the beginning, reduces unnecessary communication and revisions and increases the likelihood that the client receives exactly what they expected.

Edits to Existing Rich Media Creatives

Depending on the requested changes, an existing Rich Media ad may need to be partially or completely reconstructed. In some cases, the creative must be recreated from scratch to implement the requested changes correctly.

For planning purposes, please estimate up to 3 hours per Rich Media ad sample requiring edits.

For example: 3 ads would take 9 hours.

This should be treated as a preliminary estimate, as the actual time depends on the complexity of the requested changes.

Revision Limit

There is a limit of 2 revision rounds for launch campaign creatives. No edits for pitch requests will be accepted.

All subsequent revision rounds after the second round will be charged at a rate of $65 per creative and discussed separately

To make the revision process as efficient as possible, please collect all client feedback, materials, and requested changes before submitting the very first revision round. Consolidate feedback into a single request rather than sending changes one by one.

How to Submit Revision Feedback

Revision requests should be as specific and visual as possible.

If possible, the preferred approach is to provide a PDF containing screenshots of the creative with annotations, arrows, text explaining exactly what needs to be changed.

For example, clearly indicate:

  • Which element should be changed
  • Where the change should be made
  • What the current element should be replaced with
  • New copy, assets, colors, or other materials to use
  • Any changes to animations or interactions
  • Any elements that should remain unchanged

Be specific with revision requests. Clearly explaining exactly what needs to be modified helps avoid misunderstandings, reduces additional revision rounds, and speeds up the overall production process.

Custom Mechanics

Sometimes a client may have a specific vision for how a Rich Media creative should look or behave, including interactions or mechanics that are not currently available within the standard Somplo platform capabilities.

Unique concepts may still be technically possible, but they need to be evaluated separately.

If the requested functionality does not currently exist within Somplo’s engine, its implementation may require:

  • Additional technical investigation
  • Development of a new component or mechanic
  • Additional support and expertise from the Somplo team
  • Testing and troubleshooting
  • Additional production time

Because custom mechanics involve technical research and development, it may not be possible to provide a reliable implementation timeframe in advance and it would also require extra resources.

When a client proposes a unique Rich Media concept, please collect as much information as possible before submitting the request. This should ideally include visual references, examples, mockups, screenshots, videos, storyboards, and a detailed description of the expected user interaction or behavior.

The more clearly the desired mechanic is described, the easier it is for the team to evaluate its feasibility and determine the best implementation approach.
